As much as my family and husband think I am a super star (which I am!) I can’t take all the credit. The fact is, without my own personal arsenal of organizational tools, I probably wouldn’t get anything done. That’s why I am sharing with you some of my absolute must have required daily organizational tools.
This is my answer to the to-do list. Anything and everything I need to do goes here. All of my clients have their own workspace where I can invite them and comment on tasks and upload files and send updates. I can categorize each task into its own project and create subtasks as well. I can also assign them to whoever and specify due dates.
Why is this the answer? First, my email inbox is much cleaner. Second, it has a super easy user interface which means no hunting and pecking. I’ve used Teamwork, Trello, and the horrid Basecamp. Asana keeps everything in the same screen so there’s no additional pages to view or review. Plus when I start a comment, it is saved until I send it. This is essential for the I didn’t hit the send button or the blip in the internet connection or the accidentally deleted an email I was writing for an hour.
You know all those meeting notes you take? Do you know where they go? Do they get emailed? Do they turn into task lists? Do they get forgotten? Mine don’t. Each client has their own Evernote and every time we have a meeting I add my meeting notes there. I add my webinar notes there. I add on to them all the time. I share them with people. I even use the chat to speak with clients. Plus if I need to review a task or forgot something, they are super easy to find again.
I not only have my own social media plans to think about but I have social media plans for clients as well. This includes following people on twitter and responding to messages on facebook. Everytime a blog post in published, it needs to be shared on social media and bookmarking sites. I need to schedule 15 posts per week for myself along with promotional schedules. Since I don’t like to be chained to my computer anymore then I have to, I use sendible to automate alot of this. I can set posts to repeat each week. I can set up rss feeds to automatically post for me. And I can even chat with people on twitter without pressing a hashtag. All I can say is thank you Sendible.
This is where I become super mom without the kids. I can only imagine what it will be like when we do finally start our family. In the meantime, I have to balance things like work schedules, client meetings, personal tasks, lunch and dinner menus, workouts, our farm, and church events. (WHAT!?!?!?!?!) I know. I like to think of my calendar as a puzzle. The key thing you want to look at with your calendar is being realistic about how long things take. My “3-hour” lunch is really time to cook, clean the house, say hi to hubby, sneak in a few minutes of cuddles with the dog, and catch up with family. Take a look at my calendar below and you can see how I organize my week. Special tip here – get up at 6 am. The earlier you get up the earlier you get done and spend time with family!
ok so technically not a website but I can’t do a list about organizing without including excel. I have my running daily budget and cash flow (projected out to the end of the year) and I know how many hours I’m working vs. how much income I have that week. I also have reminders for when all of my bills are due. If you are interested in a template like this, leave a comment below and I would be happy to send you a free template!!!
Bonus – Personal Organizational Tools
Coach.me – I know I have to show up to work on time each day but thanks to this app, I can check in each day I do what I’m supposed to. They also have excise plans and meal plans too. Plus you can find a coach if you need one!
GialloZafferon – It is an online recipe book. They have an English version as well. The tablet app also has daily menus which is great for when hubby surprises me with guests for dinner.
My Beauty Box – for 14 euro a month, I get a surprise beauty box filled with tons of cool stuff I always forget to buy like really good under eye cream! They have different versions of this site for different countries but totally worth it!
